The X report and closing (Z report)

Check the position during the day without closing (X), then close the till at night (Z), reprint and receive the report by e-mail.

Before you start

  • For 💳 Cashier 🧭 Manager

Two reports summarise the till day:

  • the X report, "position check": the figures so far, without closing. The till stays open, nothing is archived;
  • the Z report, the closing: it ends the session, freezes the figures and archives them. After a Z, the till starts again from zero.
Video tutorial — Closing the till and printing the Z report ▶ 2:30

Opening the session menu#

  1. Tap the green Session open pill in the top bar.
  2. Managers and the owner go straight in. A cashier first enters their PIN (or scans their wristband): the till checks they are allowed an X ("Can print an X report") or a Z ("Allow closing the till"). A manager's code opens everything. Without the right, the till answers that there is no authorisation and to ask a manager.
  3. The Till menu offers: Close the till (Z report), Position check (X report) and Reprint a previous closing. What you are not allowed to do is greyed out with a padlock.

A cashier's rights are granted in Team.

The X report (position check)#

The Position check (X) screen shows the day's revenue, the day's detail, the orders in progress (not yet paid), the drawer check and the expenses.

  • Tap Print the X report: the receipt prints with "X REPORT · POSITION CHECK · NO CLOSING" and the footer "THIS IS NOT A CLOSING".
  • It is not archived, not e-mailed, and the session is untouched.
  • This is where you can note the day's expenses.

Closing (Z report)#

  1. Till menu › Close the till. The screen shows the revenue, the Day's detail (see reading the Z report), the Drawer check and the Expected cash in the till.
  2. Count the drawer and enter the amount in Cash counted (MAD): the till immediately shows the difference ("No difference", or "Difference: −12.00 MAD"). The close button stays greyed out until this amount is entered.
  3. Add a Note if needed (500 characters at most), printed on the Z.
  4. If the format is set to "Ask every time", choose Detailed or Simple.
  5. Tap Close the till.

The till refuses to close while:

  • orders are still pending (open, in the kitchen, ready): finish them, or tap Cancel these orders… (automatic reason "Cancelled at till closing", including other tills' orders). No loss is recorded for them;
  • expenses exceed the available cash.

Expected cash#

The till computes what the drawer should hold:

opening float + cash sales + cash tips − cash refunds + cash customer settlements − expenses.

Card payments, cheques, your custom method and sales on account never go into the drawer.

After closing#

The "Z report closed" screen shows the summary, the till difference and the Reprint the Z report button, then Open the till to start again. Automatically:

  • the Z figures are frozen (reprints use this version);
  • the till's History screen starts again from zero (nothing is deleted: the detail stays in the dashboard);
  • the day number restarts at #001;
  • the owner receives a summary notification;
  • the Z prints on network till printers (or through the browser otherwise);
  • the report is sent by e-mail to the recipients set in the Tickets tab (included in the base subscription, see tickets and printing).

A Z covers all sales since the previous Z, not since midnight: a sale at 12:30 am still counts for the evening before.

Reprinting a closing#

Till menu › Reprint a previous closing: the list of the last 3 closings (date, cashier, number of receipts, total). Choose Detailed or Simple. The archived version prints, not a new calculation. The closing right is required; not possible offline.

For the manager: setting up the Z#

SettingWhereEffect
X and Z report formatSettings › TicketsSimple: the financial summary only. Detailed (default): with the order list, best sellers and cancellations. Ask every time: the cashier chooses.
PIN code when closingSettings › RegisterOff by default. Requires the cashier's code before closing; the cashier needs a PIN and the closing right.
Z report by e-mailSettings › TicketsIncluded for everyone. The addresses (comma-separated) that receive the Z at each closing, and a test e-mail.

The e-mail contains a "Balanced / Surplus / Short" banner, the revenue, the summary, cancellations and edits, and discounts.
