Production (lab) and closing unsold items

Validate a production sheet, forecast tomorrow's batch, prepare special orders and declare the evening's unsold items.

For bakeries, pastry shops, caterers. The Production module is optional: it is on by default for bakeries, elsewhere you must turn it on ("Production (lab) on" in Settings › Modules). It requires stock management and does not exist for retail shops or salons. The storeman has access.

Daily sheets#

The Production page lists what the lab can make: products that have a recipe, and preparations that track stock (first). For each product: In stock, Sold today, Already produced, and the Produced box where you enter the quantity (Enter goes to the next line).

"Validate production" records a sheet (PF-0001…): the recipes' ingredients leave stock, the finished products enter it, the unit cost is frozen. A product made must track its stock (with "Exact stock"), and a sheet requires a recipe. A perishable product gets a batch per production run (use-by = production date + shelf life).

"What is needed"#

While you type, the page says "What is needed — everything is in stock" or "n ingredient(s) missing" with the need and the availability. For a missing preparation, Make X (n recipe(s)) adds it to the same sheet. Validating despite a shortage is possible ("Save anyway?"): those ingredients' stock will go negative.

Cancelling a sheet#

The bin on a sheet in "Latest sheets" ("Cancel this sheet") gives back the ingredients and takes the finished products out of stock, and deletes its batches.

How many to make?#

How many to make? shows the batch forecast: for each recipe product, what you usually sell on the same weekday, over the last 4 weeks; the proposed figure is the median (a wedding or a closed day does not shift it), with the shelf stock beside it. Not enough sales yet: the page says so. A warning flags "Sold out n times out of m — you could probably have sold more" or "very irregular". Fill the sheet takes the figures; what you type by hand always wins. The target date is tomorrow by default.

Customer orders to prepare#

A block takes the special orders to collect today, by tomorrow or within 7 days; Add to the sheet adds them on top of the forecast (no double counting). Only lines linked to a catalogue product count.

Closing — unsold items#

The Closing — unsold page (link at the top of Production) takes the evening's stock: what was made today (and earlier batches still on the shelf, up to 7 days), what was sold, what remains.

  • Suggest what remains fills the Unsold column (with "Exact stock": the shelf quantity; otherwise made − sold − already declared).
  • The To declare panel shows the value lost at ingredient cost; add a note ("given to staff").
  • Save the closing: each line becomes a loss "Unsold (end of day)" in stock; what was already declared the same day is never counted twice. It shows in the Losses report.
  • The Sold, Unsold and Unsold rate cards (red above 15 %) summarise the day.
