Suppliers, purchase orders and entry notes
Order from a supplier, receive goods (with batches and use-by dates), record a purchase without an order, and see cost update.
Before you start
- For 🧭 Manager
- Module Stock management
Suppliers#
Stock › Suppliers: name (required), phone, e-mail, notes. The Active / Inactive pill toggles with a click. Deleting a supplier that has purchase orders deactivates it (to keep history). Only active suppliers are offered in forms. An Excel import exists (import and export).
Purchase orders#
Stock › Orders ("Purchase orders" page, references BC-0001…). New purchase order: supplier, notes, then Add a product (active products that track stock) with Quantity and Unit cost; New item creates an ingredient (or, for a manager, a sold product) on the fly. Create the draft.
| State | Actions |
|---|---|
| Draft | Preview / Print, Edit, Delete, Mark ordered, Cancel |
| Ordered | Preview / Print, Receive, Cancel |
| Received |
A sent order can no longer be edited; a draft can.
Receiving#
Receive shows, per line, Ordered, Already received, Unit cost, and the fields Received now, Lot number, Use-by date. Enter at least one quantity. Then:
- stock goes up by the quantity received ("Purchase" movement, on the active branch);
- if the line has a cost, the product's cost is updated per the cost method: Last purchase price (this delivery's price) or Weighted average cost ("10 kg at 6 MAD + 30 kg at 8 MAD → 7.50 MAD per kg");
- if you entered a lot number or use-by date, a batch is created for the quantity received;
- a partial reception leaves the order "Ordered"; it becomes "Received" when every line is complete. A double click does not receive twice.
Entry notes#
For goods that arrived without an order (a market purchase, a delivery paid on the spot): Stock › Entry notes (references BE-0001…). New entry note: supplier (or free text "Wholesale market, Ahmed…"), items with Quantity, Price / unit, Lot, Use-by date, note. Save the entry: stock goes up straight away, with the same cost method as a reception.
The Cancel this entry note icon takes the goods back out through reverse movements and deletes the document, with a line in the activity log.
